How to avoid double bookings

Where double bookings come from, what to do when one happens anyway โ€“ and how a few rules make them almost impossible.

Two guests, one room, the same night: a double booking is every host's nightmare. It costs money, nerves and often a bad review. The good news: almost all double bookings have the same few causes โ€“ and clear routines prevent them.

The most common causes

  • Delay in calendar sync: booking platforms usually exchange availability via iCal. Each side fetches the data at its own intervals โ€“ sometimes after minutes, sometimes only after a few hours. If a second guest books on another platform during that gap, the room is sold twice.
  • Direct bookings not entered: a phone or email request is confirmed but not immediately entered in the calendar. The platforms don't know about it and keep selling the room.
  • Several rooms behind one listing: on Booking.com, one room type (e.g. "Double room") often stands for several physical rooms. The iCal feed then doesn't say which room is occupied โ€“ and a calendar that tracks rooms individually cannot place the booking automatically.
  • A calendar is missing from the sync: a new platform was set up but not linked to the others, or a calendar link became invalid after a change on the platform.
  • Several people, several lists: one person keeps the book at reception, another the spreadsheet in the office. Whatever isn't in one system will be double-booked eventually.

What to do when it has happened

  1. Stay calm and check: which booking came first? Are both really confirmed, or is one only a request? Is there another free room of the same or a better category?
  2. Inform the guest immediately: the earlier, the better. Guests told weeks in advance are usually understanding โ€“ guests standing in front of a closed door at night are not.
  3. Offer an alternative: a better room in your own house, a comparable property nearby (good contacts with colleagues are worth their weight in gold) or another date. Extra costs for the replacement accommodation are usually borne by the host.
  4. Follow the platform's rules: platforms often penalise host cancellations โ€“ with fees, blocked dates or lower ranking. Check how the platform handles relocations and contact its support before cancelling yourself.
  5. Find the cause: was it a sync delay, a forgotten direct booking or a missing calendar? Only fixing the cause stops it from happening again.

Checklist: how to prevent double bookings

  • One central availability calendar: every booking โ€“ platform, phone, email, regular guest โ€“ goes into exactly one system.
  • Enter direct bookings immediately: ideally while still on the phone.
  • Connect calendars in both directions: the platforms import your calendar and your calendar imports the platforms. Only then does every side see every booking.
  • Sync often: the shorter the interval, the smaller the risk. For last-minute bookings, a manual sync is worth it.
  • One calendar per physical room: where possible, link each room to the platform individually instead of bundling several rooms behind one room type.
  • Close same-day dates: if you don't need same-day arrivals, block them on the platforms โ€“ that's where the sync delay is most risky.
  • Check regularly: look at the sync log once a week: are all calendars running without errors?

How Stay-Board helps

  • The availability calendar prevents double allocation in your own house: the same room cannot be booked twice for the same period.
  • Hourly sync with the platforms (Booking.com, Airbnb and any platform with an iCal export) โ€“ and at any time at the push of a button.
  • Export in the other direction: each room has its own calendar address that you enter on the platform, so direct bookings show up there as occupied too.
  • Nothing gets lost silently: if an imported booking can't be assigned to a free room โ€“ e.g. a room type with several rooms โ€“ it lands under "Unassigned". You assign a free room yourself and see the conflict before the guest arrives.
  • Cancellations are synced: if a booking is cancelled on the platform, the sync removes it from your calendar too.

Frequently asked questions about double bookings

Does a channel manager rule out double bookings completely?

A channel manager with a direct interface syncs within seconds and lowers the risk considerably โ€“ but it can't rule it out completely either. For small properties, a properly set up two-way iCal sync is usually enough and much cheaper.

Do I have to pay for the guest's replacement accommodation?

If you can't honour a confirmed booking, you are generally liable for the guest's loss โ€“ typically the extra cost of equivalent replacement accommodation. The exact amount depends on the case and on local law.

Which guest gets the room?

There's no fixed legal rule; both contracts are valid. Common and fair practice: whoever booked first keeps the room โ€“ the other guest gets a good alternative.

How to connect Booking.com and Airbnb to your calendar is explained in the channel connections guide.

All bookings in one calendar

With the external booking channels module, Stay-Board pulls bookings from Booking.com, Airbnb & co. into your calendar every hour and reports direct bookings back to the platforms.
