What small hotels really need
The core is manageable. In practice, almost every request from small properties comes down to the same features:

- Booking management โ create and move reservations, record check-in and check-out.
- Guest directory โ reuse contact details, store company data.
- Cleaning status โ which room is clean, which still needs cleaning.

Everything beyond that โ revenue management, yield optimisation, GDS connectivity, complex channel managers โ is unnecessary for most small properties and drives up costs for no good reason.
The most common cost traps in hotel software
Many providers lure customers in with low entry prices but hide costs elsewhere. Watch out for:
- Per-room pricing: some systems charge fees per room โ with 20 rooms that quickly adds up to a three-digit amount.
- Transaction fees: some providers charge a percentage of every booking. That gets expensive fast, especially in peak season.
- Mandatory modules: channel managers or POS systems are sometimes sold as a mandatory bundle, even if you don't need either.
- Minimum contract terms: annual contracts make it hard to switch if you're unhappy.

Before committing to a system, test these three things specifically:
- How fast can you create a booking? With a good system, that takes under a minute. If it takes five clicks and a long form, that's a bad sign.
- What does the booking calendar look like on a smartphone? Many small-guesthouse owners check in on their phone throughout the day. That needs to work smoothly.
- How long does setup take? A good piece of software should be fully set up in under an hour โ including rooms, prices and the first user.
Pay attention to channel-manager connectivity
Anyone renting rooms via Booking.com, Airbnb or other portals faces the challenge of keeping multiple booking sources in sync. Without automatic synchronisation, double bookings happen โ and that's not just annoying, it costs real money (and nerves).

Data protection: where does your guest data live?

- Lets you delete guest data on request (right to erasure).
