How digital check-in before arrival works, what it brings guests and the front desk โ€“ and why the guest-registration requirement is still fully met.

What is online check-in?

Online check-in is a digital process where guests capture the details needed for arrival โ€“ primarily the legally required guest-registration details โ€“ online, before actually checking in at the front desk. Instead of a paper form on site, the guest gets a personal link that opens a form on their own device, including a digital signature.

How the process works for the guest

  1. Receive the link โ€“ a few days before arrival, the guest gets an email with a personal check-in link, usually alongside other information about their stay.
  2. Fill in the details โ€“ one tap opens a mobile-friendly form: name, date of birth, address, nationality and ID details are often already pre-filled where the booking already provides them.
  3. Sign โ€“ confirmation happens with a finger or mouse directly in the form, with no printer or paper involved.
  4. Arrive โ€“ on arrival, the system shows that check-in is already done. All that's left is handing over the key or room.

The link stays personalised and only valid for a limited time โ€“ so the data always ends up on the right booking, and an already-submitted check-in can't accidentally be overwritten.

What matters is that the digital signature can be clearly attributed to the person, and that the data stays retrievable for at least the required retention period.

What if a guest doesn't want to or can't use online check-in?

Online check-in should always be an offer, never a requirement. Anyone who doesn't use the link โ€“ say, because they don't have a smartphone handy, or simply don't feel like it โ€“ fills in the registration form the usual way at the front desk. Both paths should work in parallel, without creating extra work for the front desk just because a guest chooses the classic option.

Data protection for online check-in

Since this involves personal and sometimes sensitive data (ID number, date of birth), the same GDPR requirements apply as for paper capture: processing only for the legally required purpose, storage with a provider based or hosted in the EU under a valid data processing agreement (DPA), and a check-in link that no longer allows changes once it has expired or the submission has already been made.

Do guests need a dedicated app for this?

No. Online check-in typically works through a normal link opened in the smartphone's browser โ€“ no installation, no account, no app store required.

How long is the check-in link valid?

That depends on the system. A sensible choice is validity until shortly after the check-out date, so guests still have time to submit their details even if plans change at short notice.

Can I also send the link manually as a hotel?

Yes, and it makes sense to offer this in addition to the automatic send before arrival โ€“ for example when a guest calls the front desk and asks to have the link resent, or for last-minute bookings with no lead time for an automatic email.
