Managing a guesthouse digitally

How to replace spreadsheets and paper calendars โ€“ without much effort and without IT skills.

Many guesthouses and small B&Bs still manage their bookings with a spreadsheet or a paper calendar at the front desk. That works โ€“ until it doesn't. Sound familiar: the spreadsheet is on the PC, but you're out shopping and a guest calls. Or two family members enter bookings at the same time and overwrite each other's entries.

When Excel and paper hit their limits

There's a point where the classic methods create more work than they save. Typical warning signs:

  • Double bookings โ€“ two bookings for the same room, because one was entered manually and the other came in via Booking.com.
  • No access on the go โ€“ the spreadsheet is on the office PC, but you're at the market and can't say whether room 3 is still free.
  • No teamwork โ€“ spreadsheet files are hard to edit at the same time without version chaos.
  • Forgotten invoices โ€“ guests check out, and the invoice never gets created because it was forgotten in the rush.
  • No overview of cleaning โ€“ housekeeping doesn't know which rooms need cleaning after check-out.

What digital guesthouse management does better

Good software for guesthouses solves exactly these problems โ€“ without creating new ones. The most important criterion: it has to be simpler than the previous solution, not more complicated.

  • Booking calendar in the browser โ€“ accessible from PC, tablet and smartphone. Any time, from anywhere.
  • Multi-user capable โ€“ front desk, owner and cleaning staff see the same state in real time.
  • Automatic cleaning status โ€“ after check-out, the room is automatically marked "to be cleaned".
  • Invoices straight from the booking โ€“ one click, and the invoice is ready โ€“ with invoice number, logo and VAT.
  • Synchronised booking channels โ€“ Booking.com and Airbnb bookings land in the calendar automatically.

Switching over: how to do it without stress

Many guesthouse owners hesitate to switch โ€“ afraid of the learning curve or losing data. In practice, though, switching is easier than feared if you approach it step by step:

  • Step 1: Set up a free plan. Enter rooms, set prices โ€“ that takes 15 minutes.
  • Step 2: Transfer existing bookings. Only the next 4โ€“6 weeks need to be entered manually. Bookings further in the past don't need to be migrated.
  • Step 3: Record new bookings in the system from now on. After a week, the whole team works with it intuitively.
  • Step 4: Add modules as needed. Invoices, channel sync or email automation โ€“ activate them only once you know you need them.

How much time do I really save?

That depends on the size of the business โ€“ but typical savings are:

  • 15โ€“30 minutes daily on the booking calendar and overview (no more manual transfer).
  • 10 minutes per invoice โ€“ instead of opening Word/Excel, filling it in, exporting a PDF, renaming it.
  • No more manual cancellation handling for booking portals โ€“ the system detects cancellations automatically.

For a guesthouse with 6โ€“10 rooms and moderate occupancy, that's easily 1โ€“2 hours a week freed up for more useful tasks.

Is it worth it for just 3 rooms?

Yes โ€“ especially for small properties. The reason: you don't need an expensive enterprise system. A free starter plan with 2 rooms is enough to try it out, and affordable plans start at โ‚ฌ10/month. The benefit โ€“ avoiding double bookings, checking bookings from anywhere, coordinating cleaning โ€“ is real even for small guesthouses.

If you only get bookings through a single channel (e.g. exclusively phone bookings) and rarely issue invoices, a calendar might still get you by for a while. But as soon as Booking.com or Airbnb enter the picture, a digital system becomes practically essential.

Frequently asked questions about switching

Do I have to transfer all old bookings?

No. Only enter current and future bookings โ€“ anything that has already departed stays in the old spreadsheet. That saves a lot of time when switching.

What if I don't like the software?

Good guesthouse software has no minimum term and no contract. You can cancel at any time and go back to the old method โ€“ at no cost. So: just try it.

Can my cleaning staff use it too?

Yes. Most systems offer restricted roles for cleaning staff โ€“ they only see which rooms need cleaning, not guest data or prices.
